Blake Hawkins Case Study: How a Houston Wholesaling Team Doubled Its Monthly Deal Flow With an AI CRM

Blake Hawkins runs a six-person wholesaling team in Houston and San Antonio. Four months after switching to Pathwaize, the AI CRM for real estate investors, his team went from 4 to 5 closings a month to 10 to 11 closings lined up for October. The fix was not more leads. It was answering every seller in minutes, automating follow-up, and finally seeing the whole pipeline.

Blake Hawkins at a Glance

Blake has been investing for more than a decade, with over 500 single-family and commercial transactions across more than 20 states. Today he runs an inbound wholesaling operation focused on Houston and San Antonio, Texas.

Key takeaway

Blake’s team already had the lead flow and the closers. What it lacked was speed and visibility. After moving from a patchwork of tools to Pathwaize, new leads get a response in 2 to 3 minutes around the clock, follow-up runs automatically, and the team’s offer rate climbed. Monthly closings went from 4 to 5 to a pipeline of 10 to 11 deals worth an estimated $151,500 in October.

The Challenge: A Good Team That Couldn’t See the Money

Blake moved from outbound cold calling to inbound PPC in 2021. The leads were high intent, which made every delay expensive. Four problems kept good deals from closing.

Seven tools to close one deal

A CRM, a phone system, call recording, DocuSign, comp tools, and pipeline spreadsheets, each with its own login and bill. Operational drag showed up at the worst moments, like hunting for a DocuSign password while a seller was ready to sign.

Motivated sellers went cold overnight

High-intent leads that came in after hours sat untouched until morning. By then, some sellers had already signed with another buyer.

“You talk to them 9 a.m. the next day and they’re like, oh, I’ve already went under contract.”

Follow-up lived in people’s heads

Drip campaigns fired, but when a seller replied at 2:30 in the morning, nobody answered, and reps sometimes never saw the reply. Every follow-up depended on someone remembering to make it.

The owner became the pipeline

Blake spent 2 to 3 hours a day sifting through the CRM and messaging reps to call specific sellers. Asked how confident he was that every good lead got worked, he rated it about 3 out of 10.

“The core issue is just not seeing the money. There’s a lot of talented salespeople, but if they’re talking to the wrong leads and they don’t know who to talk to, they will not be as successful as they could be.”

What Missed Leads Were Really Costing

Early in 2026, Blake stopped treating the problem as an operational annoyance and put a dollar figure on it. Looking at contracts that never got signed, he estimated his team was losing at least two deals a month, or 20 to 25 deals a year, plus the commissions his reps never earned on them.

Deals lost per year

Lost profit per month
$30,000
Lost profit per year
$360,000

Deals lost to slow response or missed follow-up. Defaults use Blake’s estimate of two lost deals a month and an average of about $15,000 per deal, based on his October pipeline. Change the numbers to see your own leak. Illustration only.

Blake had already tried the usual fixes. In late 2023 he pushed ad spend to a level he now calls unhealthy, and at one point the team grew to 15 people. Volume went up a little, but with the extra ad spend and commissions, the business made less money. More leads and more people only scaled a broken system.

“Run the opportunity cost. What are you missing every month because the system is not correct? Once you see that number, you’ll know what to do from there.”

Why Blake Switched to Pathwaize

Blake had used a sticky note for his first two years, then Podio, then REsimpli. He was not satisfied with how the platform executed, and between the CRM and usage credits his bill ran to four figures a month.

He found Pathwaize on Instagram, booked a demo, and signed up on the call. His one hesitation was migration. As he put it, switching CRMs felt like moving houses: you love the new place and dread the packing. Done-for-you onboarding removed most of that friction, and within four months the whole operation ran in one system.

  • One system of record. Calls, texts, recordings, pipeline stages, and contracts in the same place, so nobody works from five tabs.
  • Speed to lead without staffing nights. Automated texts and AI replies engage sellers the moment they raise their hand.
  • Sam AI on the phones. An AI voice agent that answers motivated seller calls 24/7, qualifies them, and books appointments.
  • Done-for-you onboarding. Setup and training are included on every plan, so switching does not mean rebuilding from scratch.

How a Motivated Seller Lead Moves Through Blake’s Pipeline Now

The same six steps run on every lead, at 2 p.m. or 2 a.m.

  1. The seller fills out a form

A homeowner finds Blake’s company through PPC and submits a form. The lead lands in Pathwaize instantly.

  2. A text arrives in 2 to 3 minutes

An automated message names the company, so the seller connects the form they just filled out to the buyer reaching out.

  3. AI keeps the conversation going

If the seller replies after hours, conversational AI answers with a relevant response instead of leaving them in silence until morning.

  4. Sam AI handles the calls

When a seller calls, Sam answers, learns their situation, and books an appointment with the team.

  5. A closer takes over with full context

Reps see the recording, transcript, and stage before they dial, and can send a contract within seconds of the conversation.

  6. Follow-up runs until the seller is ready

Warm leads and long-term nurture leads get sequenced texts, calls, and emails. When a seller responds, the team sees it and moves the deal back into the active pipeline.

The Moment Blake Knew It Was Working

“The AI, Sam, answered the phone, and the seller talked to Sam for like four minutes. I listened to the call, I saw the transcript. Sam set the appointment. Then Edward came in, talked to the seller, and closed the deal.”

  2. Seller calls backSam AI answered and held a four-minute qualifying conversation.
  3. Appointment bookedSam captured the situation and scheduled time with the team.
  4. Deal closedBlake’s acquisitions rep picked it up with the full transcript and closed it.

Results: Double the Deal Flow Without Buying More Leads

Blake is clear that his reps close the deals. What changed is that they now spend their time on the right sellers at the right moment.

  • 10 to 11Closings in the October pipeline, up from an average of 4 to 5 a month
  • $151,500Estimated value of those October deals at the time of the interview
  • 2 to 3 minFirst response to new web leads, day or night
  • 45 secTo send a contract after talking with a seller, with no login hunting

A higher offer rate, without a push

The team never set out to raise its offer rate, and it rose significantly anyway. Blake credits clearer visibility: when reps can see which deals are live, they make more offers with more confidence, and more offers lead to more contracts.

More deals and a better bottom line

Blake says he could not have reached 10 closings on his old system without spending another $20,000 on leads, which would have cost more than it made. On Pathwaize, the added deals come from leads he was already paying for.

“We fixed the holes in the boat. Instead of trying to add a new engine or some fancy crew member, we fixed the holes, and the boat’s now going faster.”

Lessons for Other Wholesalers and Investors

What Blake would tell an investor whose system is “not perfect, but working.”

Put a number on the leak

Until missed deals have a dollar figure, they stay an annoyance. Once they do, fixing them becomes a priority.

Fix the pipe before adding water

More ad spend and more reps on a leaky system produced more volume and less profit. Fix response and follow-up first.

Make follow-up the system’s job

Automated sequences by pipeline stage free reps to negotiate and build relationships instead of remembering who to call.

Give the team visibility

When everyone can see the money, the owner stops being the pipeline and goes back to coaching and strategy.

Blake Hawkins Case Study FAQ

Who is Blake Hawkins?

Blake Hawkins is a real estate investor with more than 10 years of experience and over 500 single-family and commercial transactions across more than 20 states. He runs a six-person wholesaling team focused on Houston and San Antonio, Texas, that generates motivated seller leads through inbound PPC.

What results did Blake Hawkins get with Pathwaize?

About four months after switching to Pathwaize, Blake’s team went from an average of 4 to 5 closings a month to 10 to 11 closings in its October pipeline, with an estimated value of $151,500. New leads now get a response in 2 to 3 minutes around the clock, and the team’s offer rate rose significantly.

How did Pathwaize improve speed to lead for Blake’s team?

Before Pathwaize, a lead that arrived at 2 a.m. was not contacted until at least 8 a.m., and daytime leads could wait 2 to 3 hours. Now every new lead gets an automated text within 2 to 3 minutes, conversational AI replies to sellers after hours, and Sam AI answers inbound calls 24/7.

What CRM did Blake use before Pathwaize?

Blake used REsimpli before switching, alongside DocuSign, a separate phone and call recording system, comp tools, and pipeline spreadsheets. Earlier in his career he used Podio. He moved to Pathwaize to centralize everything in one AI CRM and lower his total cost.

How does Sam AI help a wholesaling team?

Sam AI is the Pathwaize AI voice agent. It answers motivated seller calls 24/7, gathers property and situation details, and books appointments with the team. In one of Blake’s first wins, Sam handled a four-minute call with a seller the team had not reached, set the appointment, and a rep closed the deal.

Did Blake need more leads to double his deal flow?

No. Blake had already tried raising ad spend and growing his team to 15 people, and it made the business less profitable. His increase came from converting more of the roughly 70 motivated seller leads a month he was already generating, through faster response, automated follow-up, and better pipeline visibility.

How did Blake figure out what missed leads were costing him?

He reviewed contracts that were never signed and estimated his team was losing at least two deals a month, or 20 to 25 a year. Multiplying that by his average deal size, and then by his reps’ commissions, showed a loss too large to ignore. He recommends every investor run the same math.

Is it hard to switch CRMs to Pathwaize?

Data migration was Blake’s biggest concern before switching. Pathwaize includes done-for-you onboarding with setup and training on every plan, and Blake’s team had its full operation running in Pathwaize within about four months.

How long did it take Blake to see results?

Faster lead response and automated follow-up worked from the start of implementation. Blake’s “this is working” moment came when Sam AI booked an appointment that turned into a closed deal, and within about four months the team’s pipeline had doubled.

Are Blake’s results typical?

Blake’s results reflect his own business, market, lead flow, and experienced team. Pathwaize does not guarantee deals or income. Results depend on marketing, lead quality, offers, sales skill, market conditions, and how the system is implemented.
